How to write a good outreach email?
The length of an info letter varies from one sentence to several pages. As a rule, the information letter is signed by the head of the organization or the person in charge. In the case of mass mailing, a manual signature is optional.
For example, for a good outreach the following structure is often used:
1.In the upper left corner of the sheet or in the center, indicate the details of the company – name, legal address, contact information. Indicate the date of drawing up the document.
2. In the upper right corner, write down – full name, position, name and address of the company.
3. In the center of the letter, if necessary, write a subject that reflects the content. Below the topic, add an address in a respectful manner or start with a polite greeting – “Good afternoon, …”, “Dear ….”
4. Below the address, write an introduction – summarize the essence of the message. “Please …”, “Our company offers …”
Write briefly and consistently – only the facts and the most necessary information.
5. A business letter should clearly answer the questions: “To”, “Why” and “Why”. Make sure the style and content are clear to the addressee.
6. At the end of the letter, summarize what you have written and, if necessary, briefly state your proposal or request.
For each application, write a short explanation – what it is, what it is about and why the addressee needs it.
7. End the letter with the standard phrase “Regards …” (or something similar). Enter the title and name of the sender. If the message is personal, sign it. Below you can register the contact details of an additional contact person.
